ICK is hiring a full time Receptionist/ Administrative Assistant

The Receptionist is in charge of front-end operations and first-line response for ICK, clients and visitors, through provision of customer services, administrative support, monitoring of building security and hosting.

1.  Position overview

The Receptionist is in charge of front-end operations and first-line response for ICK, clients and visitors, through provision of customer services, administrative support, monitoring of building security and hosting. He/she is responsible for providing guidance and information to customers, handling maintenance of equipment, furniture, building, monitoring of employee and visitors motions around the facilities and access to different parts of the building (authorization and keys management), mail and packages protocol and distribution, and managing different situations.

2.  Duties and Responsibilities

·    Coordination of general services: manages reception desk and common services staff, which includes the assigning of work, training, evaluating performance, taking necessary disciplinary action, phone calls receiving,  monitoring and directing; message taking and forwarding, mail and package protocol and distribution, complaints resolving and compliments noting; employee attendance monitoring;

·    Equipment handling and check out: document scanning, faxing, copying, office equipment maintenance, updating Hall Info display,

·    Managing security related activities: visitors screening, issuing visitors ID, escorting visitors, issuing electronic key passes to restricted areas;

·    Handling crisis and emergency situations: earthquakes, fire, flood, chemical spills, diseases outbreaks, explosions, terrorism, medical emergencies for staff and visitors

·    Providing information to customers over the phone, in person and through e-mail;

·    Training and Events participants fees collecting and forwarding, enrollment for up-coming courses and events; handling conference check-in and check-out;

·    Providing directions (around the building) for participants and other visitors
